Automated Scheduling

ePro Scheduler provides an advanced method for building schedules based on pre-configured profiles.  The software ensures that employees are qualified to work assigned shifts and that their credentials are not expired.  Schedules can be published for employees to view. It is easy to manage schedules on a day-to-day basis with the rich set of scheduling tools.

Schedule Autofill
The "Autofill" function automatically staffs schedules with qualified employees with up-to-date certifications.  The flexible rotation management software handles the most complex schedule rotations in any industry.
Day-To-Day Schedule Management
The Best Fit panel shows qualified employees available to work a shift. If you are trying to reduce overtime, this panel alone will save you more money than the monthly cost of ePro Scheduler.
The Info popup permits informed decision making by providing quick access to employee information (current schedule, vacation balance, qualifications, certifications, etc.) on all the scheduling panels.
The open shift request manager provides approval and quick scheduling for employees that request open shifts.
The Schedule Availability panel shows shift availability submitted by employees.
Time-off manager allows for quick approval/disapproval of time-off requests (vacation, sick and PTO).
Call Log tracks employees that have been called each day.
The time-swap manager manages employee time-swap requests.
Schedule Worksheet
The Scheduling Worksheet provides schedule management functions to supervisors, dispatchers and other personnel that require limited schedule management access. Employee call-offs are easily handled on the worksheet to help spread the scheduling workload across responsible employees.

Time & Attendance

ePro Scheduler provides an advanced time and attendance solution that complements our scheduling and payroll functions.  Since payroll information is compiled in the schedule, it is essential that the schedule reflect actual punch times for employees clocking in and out.

Employee attendance records can be can be entered with the various methods provided by ePro Scheduler. eCore will ensure that the best solution will be rolled out for your operation.

Recording Attendance
The following attendance recording methods are provided:
- ePro BioClocks
An advanced method of recording attendance.  An employee can't clock in or out unless their fingerprint scan is found in the enrollment database.
- Timekeeper Kiosks
Computers in public locations with live web browser access can be configured as timekeeper kiosks.  A timekeeper kiosks is ideal for public locations where buddy punching is not a concern..
- Online Entry
Timekeeper limited access function for dispatchers and other supervisory personnel to record in and out punches when employees call-in.
- Self Service
Employees can clock in and out on via the web on their personal time clock after logging into ePro Scheduler.  This is ideal for employees working in the field like home health nurses, therapists, etc.
- Time Sheet Management
Full access and management of the daily timesheet. Punches can be created, modified and deleted with a complete audit trail of who made updates to the timesheet and when.
Reconcile Punches to the Daily Work Log
Easily check and fix discrepancies between employee punches and the current schedule. The discrepancy reconciliation function displays the error and helpful comments that were entered by employees.  Click the displayed links to quickly fix any errors that are found.

Payroll Support

Payroll Closeout Panel

ePro Scheduler's automated payroll tools build formatted files that can be easily imported into your payroll software.  It also provides complete management of time off balances. Having these balances in ePro Scheduler allow schedulers to make smart decisions when approving vacation requests and call offs.


Weekly Closeout

Schedulers save essential payroll information for every schedule entry, including special pay rates, vacation & sick entries, cost centers, etc. At the end of the week, ePro Scheduler will automatically generate formatted file that can be imported into your payroll system. The software automatically computes daily and weekly overtime. It also handles special daily overtime and double-time rules in California and Colorado. The software can be easily adapted to import into any payroll system. Interfaces are available to many different vendor payroll systems as well as custom payroll implementations.


Employee Timecard Approval

The timecard approval function lets employees approve their schedule or point out items that may have been missed. Use the approval software to implement the appropriate policy for your organization.


Vacation, Sick and PTO Management & other Time Off Management

The flexibility provided by ePro Scheduler for managing time off balances is unmatched in the industry. Employee groups can be configured for a variety of policies on how much vacation, sick and PTO they are awarded annually. Balances can be accrued at payroll closeout or adjusted when employees reach anniversary dates. Deductions are made at weekly closeout for vacation, sick or PTO balances. The close-out reports show a complete audit trail of every adjustment made.


Holiday Management

The payroll software lets you configure various holiday policies that apply to different groups of employees. When the holiday is applied to the schedule, ePro Scheduler creates all payroll entries with the click of a button. For large organizations, the elimination of this manual process will provide substantial savings.

All Employee Access

Employees can login to ePro Scheduler and access the following functions:

    - View employee profile
    - View current schedule, request open shifts
    - Request open shifts and giveaway scheduled shifts
    - Submit availability
    - Submit time-off requests (vacation, PTO or custom)
    - Submit time-swap requests with other employees
    - Submit weekly time-card approval

Certification Tracking

Manage employee skills with the qualification manager. Manage employee certifications and expiration dates. These key fields are the same ePro Scheduler fields used to ensure that employees are qualified for their positions and that their credentials are up-to-date.

Define employee skill levels and the training coursework required to achieve these levels. Once employees have completed the required coursework, they automatically qualifiy for the pre-defined skill levels.

Assign certifications with expiration dates to employee profiles. Flexible reporting provides many different viewing options. With ePro Manager, no employees will fall through the cracks with expired credentials.

Collaborative Messaging

The Message Center keeps the communication channels open between field employees, schedulers and supervisors.  Messaging is provided at many different levels.  Mailboxes are provided for each employee; text paging is supported on many screens; the address book provides quick employee lookup; a message board is available for company-wide communications.

Document Library

With the integrated document library, you can create document index records to track vital information about every document.  Upload documents in any format and make them available to employees in ePro Scheduler.


User Defined Document Index

Define the document categories and fields that need to be tracked by the document manager. Enable the location feature so you can narrow document searches by area.  Enter the information you need for a document and assign it to multiple employees, vehicles and facilities.  It is very easy to search for a document and it is on the Internet so they are available anywhere.


User Defined Document Index

Upload scanned images, MS Word documents, spreadsheets, CAD maps or any electronic document.  After they are uploaded, they are available to anyone that has access.  The integrated ePro Scheduler interface makes common employees documents, like company polices and memos, readily available to the workforce.

Document revisions are maintained by the document manager.  When a document is uploaded, a revision is automatically made.  The previous document version is saved for later reference.  You will never lose or overwrite a critical document with ePro Manager.
